

Sharing a room calendar to a user does not prevent a room from having the Auto-accept setting enabled. If the room calendar is shared with Delegate permissions, the user will also receive copies of all meeting invitations sent to the room in their own inbox.

The user can accept the sharing invitation to add the calendar to begin managing the room's meetings. In cases where a user needs to manage a resource calendar, the calendar should be directly shared to the user as a shared calendar.

It is also not recommended to use Full Access permissions to directly manage resource calendars' response to a meeting invite. Rooms should only be added to meetings by including them in the Attendee or Location fields. IMPORTANT Room mailboxes should never be set as the organizer of a meeting. After a user's been granted permissions to access a room mailbox, they can open the mailbox using the instructions in Open and use a shared mailbox in Outlook for Windows.

If you want to grant someone access to a room mailbox so they can directly manage its calendar (for example, an assistant who needs to make room for an executive meeting), you can do so using the instructions in Manage permissions for recipients. To create a room mailbox, you need to be an administrator who's a member of either the Organization Management or Recipient Management role groups. When they do this, the room mailbox uses options you can configure to decide whether the invite should be accepted or denied. With room mailboxes, users can easily reserve these rooms by including room mailboxes in their meeting requests. A room mailbox is a resource mailbox that's assigned to a physical location, such as a conference room, an auditorium, or a training room.
